This page explains, in plain language, how Rocky Mountain Rails handles visitor messages, member account information, cookies, and everyday website use.

Who we are

Rocky Mountain Rails is a Colorado large scale railroad club. This website provides public information about the club and also includes a member login area for member-only content and account management.

Information you give us

If you use the contact form, we receive the information you enter, such as your name, email address, phone number if you choose to provide it, the topic you select, and your message.

If you become a member or use the member account system, we also store the account and membership information needed to manage your membership, help you sign in, and keep the member area working.

Information we collect automatically

Like most websites, we automatically receive some technical information when you use the site. That can include your IP address, browser details, and request information used for security, troubleshooting, and spam prevention.

We also store sign-in session information when members log in, and we store a simple theme preference in your browser if you switch between light and dark mode.

How we use information

  • To respond to questions and visit requests sent through the contact form
  • To manage member accounts, logins, password resets, and account activation
  • To maintain member records and member-only features
  • To prevent spam, abuse, and unauthorized access
  • To troubleshoot technical issues and keep the site working

Who we share information with

We do not sell visitor or member information. Information is shared only when needed to run the site or handle club business.

  • Contact form messages are sent to the appropriate club officers
  • Member and admin information is available only to people inside the club who need it for club operations
  • The site uses Cloudflare Turnstile to help block spam on public forms
  • Email-related information may pass through the server tools used to send club email
  • The weather page loads forecast data from Open-Meteo and links to NOAA for official forecast details

Cookies and sign-in sessions

The public site does not use advertising or tracking cookies. Members who sign in receive a session cookie so the website can remember that they are logged in. If a member chooses "Remember me," that session lasts longer.

The site may also save a simple theme preference in your browser so your chosen light or dark mode is remembered on future visits.

Member information

Member information is used to run the membership system and support club operations. Passwords are not stored in plain text. The site stores password hashes, session records, and account-related records needed to support sign-in, renewals, password resets, and member administration.

Member-only pages are protected by authentication. Even so, members should use normal caution when sharing personal information online.

How long we keep information

We keep information only as long as it is reasonably useful for club operations, account management, security, troubleshooting, or recordkeeping. Some records may need to stay longer when they are part of the normal membership history or site administration process.

Your choices and questions

If you have a question about how your information is handled, want to correct something, or want to ask about account privacy, use the contact form. That is the best public way to reach the club about privacy-related questions.

Security

We take reasonable steps to protect the website and member information, but no website can promise perfect security. If we change how the site handles information in a meaningful way, we will update this page.
